Below is our agreement in working together.
By engaging with Plymstock Hypnotherapy Services, you (the client) agree to comply with these Terms and Conditions. If you have any questions or concerns about the content of this agreement, please contact Karen Clark (the therapist) prior to your Initial Consultation.
1) Confidentiality
All information shared during the client’s hypnotherapy sessions is strictly confidential. Information will not be disclosed to anyone outside of the session unless:
- The client provides written consent to share information.
- The therapist is required by law to disclose information, e.g., in cases where the client may be at risk of harm to themselves or others.
In certain circumstances it may be beneficial for the therapist to discuss your case with a supervisor or mentor. In these instances, your personal identity will remain anonymous, and confidentiality will be upheld.
2) Client Responsibilities
- Hypnotherapy is a collaborative process, and success depends on the client’s commitment and participation.
- The client agrees to attend scheduled appointments on time, actively engage in the therapeutic process, and complete any recommended tasks outside of sessions.
- The client agrees that they will not be under the influence of any substance when attending appointments. If they are, the therapist has the right to decide not to go ahead with the session or terminate it as appropriate, and no refund will be provided.
- The client should inform the therapist of any change in circumstances, including medical conditions or medications that may affect the hypnotherapy process.
3) Medical Disclaimer
- Hypnotherapy is not a substitute for medical treatment. It is essential that clients continue with any prescribed medical treatment and consult their doctor or medical professional before discontinuing or reducing any medications or treatments.
- The therapist is not a licensed medical professional and cannot diagnose or treat medical or psychiatric conditions.
4) Limitations of Liability
- The therapist will not be liable for any direct, indirect or consequential loss or damage arising from the hypnotherapy services provided, except in cases of negligence or wilful misconduct.
- The client accepts responsibility for their choices, decisions and progress as part of the therapeutic process.
- The therapist shall not be held liable for any impact or outcome resulting from the client’s failure to disclose relevant health information or failure to follow agreed therapy plans.
5) Session Duration and Structure
- Hypnotherapy sessions typically last 60 minutes unless otherwise agreed.
- Any longer session, if agreed to be necessary by both parties in advance, will be charged on a pro-rata basis.
- The number of sessions required will be discussed and reviewed regularly, and will be dependent on your specific goals, progress and commitment.
- Sessions can be conducted in person or via online video conferencing platforms depending on availability and the client’s preference.
6) Online Working
- Online working refers to any means of communication that is not in-person.
- Every effort is made to use only those platforms that have been deemed to offer good quality security; however, the client should be aware that no platform is 100% secure.
- The client is responsible for ensuring they have a secure and confidential environment when working online with the therapist.
- It is the client’s responsibility to ensure they have a stable internet connection. In the event of a technical failure, the therapist will contact the client via telephone to discuss continuing/rearranging the session.
7) Recording of Sessions
- Sessions are not permitted to be recorded unless informed, written consent has been given by both the client and the therapist.
8) Use of CCTV on Premises
- For in-person appointments, by entering the premises the client consents to the use of external CCTV surveillance for security and monitoring purposes.
- The use of external CCTV is in place to ensure the safety and security of all individuals on the premises, and recordings may be used for investigative or legal purposes if necessary.
9) Use of Hypnosis Recording
- Clients may be provided with hypnosis recordings as part of their therapy. These recordings are for personal use only and should not be shared or reproduced without written permission from the therapist.
- The recordings should not be used when driving or operating machinery.
- The client should ensure that they have returned to full conscious awareness prior to continuing their daily tasks if using the recordings at any time other than immediately prior to sleep.
- The therapist is not liable for any adverse effects arising from the misuse of these recordings.
10) Fees and Payment
- The current cost of my hypnotherapy services can be found on the Sessions and Prices page of my website.
- Payment must be made prior to each session.
- Payment can be made via Bank Transfer (strongly preferred) or Credit/Debit card – bank details will be provided via email with confirmation of your booking.
- The session fee is subject to revision from time to time. Advance notice will be given of any increase.
11) Cancellation, Rescheduling and Refund Policy
- A minimum of 24 hours’ notice is required for cancelling or rescheduling a session.
- Cancellations made within less than 24 hours, or failure to attend a scheduled session, will incur the full session fee.
- Exceptions may be made in the case of emergencies or illness at the therapist’s discretion.
- The therapist reserves the right to reschedule sessions with notice provided to the client.
- If a client wishes to discontinue therapy after payment has been made for a session, a full refund will be provided subject to the minimum 24 hours’ notice required.
12) Waiting Room & Toilet Facility
- Please note that I do not have a waiting room at my practice. To ensure a smooth and private experience for all clients, I kindly request that you arrive promptly at your scheduled appointment time.
- Early arrivals may need to wait outside until the previous session has concluded.
- Due to the location of the therapy room, toilet facilities are not immediately close by, and the use of these cannot be guaranteed.
13) Results and Guarantees
- Hypnotherapy is a personal process, and results will vary from person to person. Whilst the therapist will work to support the client in reaching their goals, no specific outcome or result can be guaranteed.
- Clients’ results may vary depending on client participation and commitment to change.
- The client understands that the therapist is not a medical practitioner and that hypnotherapy is a complementary therapy and should not replace any medical advice or treatment provided by healthcare/medical professionals. It is therefore recommended that the client should seek advice from a medical professional before commencing hypnotherapy.
14) Use of Testimonials
- The therapist may send the client an email asking them to leave a review of their hypnotherapy services. The client agrees that this can be used as a testimonial on the therapist’s website and/or on any marketing material the therapist produces. To maintain confidentiality, the client’s first name only will be used unless otherwise agreed.
15) Data Protection and Privacy
- The client understands that the therapist will collect and store personal information in line with the Data Protection Act (2018) and General Data Protection Regulation (GDPR).
- The client understands that information will be used solely for the purpose of providing hypnotherapy services and will not be shared without the client’s prior consent unless required by law.
16) Ethics and Professional Standards
- The therapist is committed to providing professional and ethical services adhering to the codes of conduct as set out by their professional association/s. If you have any concerns regarding the therapist’s services or ethical practice, these should be discussed with the therapist in the first instance.
17) Termination of Services
- The therapist or client may terminate the agreement at any time for any reason without notice.
- If the therapist feels that hypnotherapy is no longer appropriate or beneficial for the client, a referral to another professional may be recommended.
